Privacy policy
Last updated 30 September 2026
This policy explains what SocialHat collects through socialhat.com.au, what we do with it, and who else handles it along the way. We have kept it to what this website actually does.
Who we are
SocialHat is a marketing agency at 41A Kirwan Street, Floreat, Western Australia 6014. When this policy says "we" or "us", it means SocialHat.
What we collect, and why
When you send an enquiry. The form asks for your name and email, and optionally your business name, phone number and a message, plus the answers you pick about what you need. We use these to reply to you and to work out who in the team should.
When you chat with HatBot. HatBot is an automated assistant, not a person. We receive what you type into it so it can answer. If you give HatBot your name, email, phone number or business name so the team can get back to you, those details and a short summary of what you asked about are sent to our inbox. We do not keep a copy of the conversation itself on our website server.
When you visit. Like every website, our host receives technical details such as your IP address and browser type with each request. We also use your IP address to limit how many messages or enquiries one connection can send, which keeps automated spam out. For that we store a scrambled (one-way hashed) version of the address rather than the address itself, and those records are cleared within about a day.
If something fails to send. If an enquiry or HatBot's message can't be delivered to our inbox, the contact details in it are written to our website's error log so we can still get back to you.
Analytics. We use Google Analytics to understand how people use the site — which pages are read, roughly where visitors come from, and how many enquiries the site produces. It uses cookies and does not tell us who you are.
We do not sell your information, and we will not add you to a mailing list unless you ask us to.
Who else handles it
To run the website we rely on these services, which process information on our behalf:
- SiteGround hosts the website.
- Microsoft 365 runs our email, where enquiries and HatBot's messages arrive.
- HatBot's language models. What you type into HatBot is sent to an AI service to generate its reply: Groq, NVIDIA, or OpenRouter (which may pass it to the company behind the model it uses). These are based in the United States. Please don't put anything sensitive — health, financial or password details, for example — into the chat.
- Google provides Google Analytics.
- YouTube (Google) plays the videos in our work section. The player only loads when you press play, and uses YouTube's privacy-enhanced mode.
Some of these services store or process information outside Australia, including in the United States. We choose established providers and send them only what they need to do their part.
Cookies and your browser
- Google Analytics sets cookies (named
_gaand_ga_…) to tell visits apart. You can block them in your browser settings, or with Google's opt-out add-on, and the site will work the same. - HatBot remembers, for the length of your visit only, that it has already offered to help, so it doesn't keep asking. This is stored in your browser, not sent to us.
How long we keep it
Enquiries and HatBot's messages stay in our email for as long as we need them to deal with your enquiry and any work that follows, and for our business records after that. Ask us and we will delete them where we are not required to keep them.
Seeing, correcting or deleting your information
You can ask what information we hold about you, ask us to correct it, or ask us to delete it. Get in touch using the details below and we'll respond within 30 days.
Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. If we don't resolve it, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
